Good organisation begins with a simple habit: every document has a clear place, period and responsible person. Software helps when that structure is followed every day.
One document, one clear place
Collect invoices, bank statements and related attachments in a shared workspace. Identify the company and period they belong to. When correcting a document, preserve its connection to the previous version rather than creating indistinguishable copies named latest-new-final.
What to check on receipt
- Is the document addressed to the right company?
- Are all pages and attachments legible?
- Is the same document already in the archive?
- Is it clear what was purchased or supplied?
- Is clarification needed from the issuer or accountant?
This is an organisational check. The tax and accounting assessment depends on the particular document and transaction.
Agree document handover with your accountant
Decide how documents will be handed over and how questions about them will reach you. Do not assume an uploaded file is a checked or posted document. Distinguish receipt, processing and period closing.
Online access and archiving are different tasks
A platform's access period does not determine the statutory retention period for all company documents. The Bulgarian Accountancy Act distinguishes information categories with different retention periods. Clarify with your accountant which rules apply to your documents and maintain a suitable independent archive.
When choosing software, check how originals and reports are downloaded, what remains available after a period ends, and what happens when the service ends.
